Assistant Director of Admissions and Records
Walla Walla Community College (WWCC) is accepting applications to fill a full-time Assistant Director of Admissions and Records position on the Walla Walla campus. This position assists the Director of Admissions/Registrar in directing the operational and administrative functions directly related to admissions, enrollment, records, and testing. Qualifications: Bachelor's Degree; professional experience may substitute for education requirement at the discretion of the College. Two (2) years of supervisory experience or three (3) years of increased responsibilities, preferably in student services or related area working with data, records management, and/or technical systems administration. Annual salary range: $65,000- $70,000. This position will remain open until filled. To be included in the initial screening, applications should be received by December 5th, 2022. Essential Functions:
- Perform administrative duties for the Office of Admissions and Records:
- Supervise all assigned full-time and part-time staff in the Office of Admissions and Records, and other staff members assigned by the Director of Admissions/Registrar.
- Represent the Director of Admissions/Registrar, when necessary, at various councils (both state and local), committees, and departmental meetings.
- Supports related campus activities including New Student Orientation and other initiatives related to student success.
- Collaborates with the Director of Admissions and Registrar to coordinate the activities and workflow of the Office of Admissions and Records, especially during peak activity periods.
- Interpret, stay current on, and adhere to state and federal regulation, ensuring constant compliance.
- Manage all functions of the Office of Admissions and Records as it relates to admissions, testing, enrollment, and student records processes.
- Assist with the development, implementation and monitoring of departmental policies, procedures, and objectives.
- Serve as a Subject Matter Expert (SME) within the Campus Solutions Pillar, providing technical support and staff training for ctcLink and other related college systems.
- Manage complex, recurring, and ad-hoc ctcLink processes as they relate to department functions (i.e. processing applications, student registration, grade posting, degree awarding, etc.)
- Process dual credit and Academic Credit for Prior Learning (ACPL) requests.
- Assist with department processes in times of peak volume.
- Serve as Designated School Official (DSO) for international students and assist with the admissions process and I-20 maintenance.
- Serve as the college’s Residency Officer.
- Responsible for ensuring data integrity and record retention for the Office of Admissions and Records.
- Ensure alignment of coding protocols and record retention as directed by state and federal regulations.
- Manage and monitor data entry to ensure accurate data and reports as it relates to the functions of the Office of Admissions and Records.
- Create and maintain ctcLink databases and tables as it relates to curriculum and student record information such as service indicators, student groups, milestones, test scores, enrollment requirements, etc.
- This position will supervise Admissions and Records staff assigned by the Director of Admissions and Registrar.
