The United States District Court for the Western District of Washington is seeking an articulate, self-motivated and detail minded individual to join our Case Administrator / Intake team. This position will interact extensively with the public and requires exceptional customer service skills, communication skills, professionalism and discretion. The Case Administrator / Intake Clerk is part of a self-directed team. The team participates in recruiting, and is responsible for training and performance evaluations. This requires the successful candidate to display responsibility, flexibility and a desire to work collaboratively within the team and the Clerk’s Office as a whole. This position is located in the office of the Clerk of Court at the federal courthouse in Tacoma, Washington. |
Representative Duties |
• Responsible for maintaining the official case records on the docket from opening to final disposition. • Accurate and timely entry of both civil and criminal orders to the docket, performing quality control, and notifying interested parties when orders are docketed.. • Works closely with judges and chambers staff to ensure accuracy and timeliness when posting complex court orders. • Conducts extensive quality assurance reviews of all new cases filed electronically and issues notices of deficiencies as needed. • Opens civil and miscellaneous cases via the court’s electronic case management system (CM/ECF). • Opens prisoner cases, posts orders, responds to prisoner correspondence and processes emergency filings. • Receives and reviews incoming documents to determine conformity with federal and local rules, and procedures. • Processes notices of appeal, posts orders and serves as a liaison to the Ninth Circuit Court of Appeals. • Provides assistance to the public and counsel on filing procedures, general case information, and other court services. • Open and process mail, receive payments and issue receipts. Case Administrators/Intake Clerks are part of a self managing team, and are responsible for hiring, training, and performance management. The team develops quality standards, provides training, plans and distributes work, handles leave and coverage issues. This requires responsibility, flexibility, and a desire to work collaboratively within their team and the Clerk’s Office as a whole. |
Qualifications

· High school diploma or equivalent and a minimum of two years of progressively responsible administrative, technical or professional experience. · Proficiency with Microsoft Word and typing speed of 40+ wpm required. · Proficiency with a wide range of technology, including Microsoft Office, SharePoint and Adobe Acrobat. · Proven experience in handling multiple workload demands, including frequent interruptions, while maintaining a high level of concentration; · Ability to research complex issues and be familiar with a variety of internal and external resources; · Demonstrated ability to function collaboratively within a team environment and the larger office; · Ability to take initiative and a demonstrated ability to work without supervision; · Ability to communicate information in an accurate, timely, and discrete manner to and from individuals within and outside the court; · Accuracy and attention to detail; · Ability to maintain confidentiality, demonstrate sound judgment, and handle sensitive material is essential; · Strong computer and analytical skills; · Excellent customer service skills; · Ability to work well under stress; · An attendance record that indicates reliability and commitment.

Preferred Qualifications
|
· Court or legal experience (familiarity with the legal system/legal terminology); · Familiarity with civil and criminal procedures; · Knowledge of CM/ECF (the federal judiciary’s case management/electronic case filing system) or other electronic docketing systems; · A bachelor’s degree.

Salary Range |
Court Personnel System Classification Level: CL24, Step 1 – 61, $39,739 - $64,586 Depending on experience and qualifications; additional promotional potential without further recruitment.
