Administrative Support Specialist - CIPHER Research Center
This position provides administrative support for the Center for Computational Intelligence to Predict Health and Environmental Risks (CIPHER) with responsibility for management of all resources (state, grant, endowments) and ensure efficient use of funds. This position reports to the Directors and provides support to the Center’s faculty. These support activities will include but are not limited to: composing and editing written reports, processing travel requests, planning and attending meetings. The successful candidate will be responsible for tracking use of space, grant awards, publications, press requests and posting communications for the center, maintaining inventory and requesting repair of office equipment and supplies. The successful candidate shall have a variety of administrative duties including mailing, filing, emailing, answering and processing telephone calls and voicemails, maintaining electronic calendars, and preparing meeting agendas and recording and transcribing meeting minutes. This work involves implementing systems to do so and maintaining records on those systems for use in annual reports. The successful candidate will possess and develop considerable judgment, confidentiality, initiative, and interpersonal skills. The successful candidate will align their daily priorities with the Center’s objectives and provide a high level of service to customers by establishing and maintaining effective working relationships and partnerships.
MINIMUM EDUCATION AND EXPERIENCE QUALIFICATIONS:
- Graduation from high school and one year of related office experience; or an equivalent combination of education and experience
PREFERRED QUALIFICATIONS:
- Bachelor’s Degree.
- Three years of financial/budget experience, preferably in a higher education environment.
- Working knowledge of grant funds.
- Advanced experience with Microsoft Suite and Professional Google Suite.
- Experience in space scheduling.
- Ability to learn a wide variety of financial, human resources, academic affairs, and grant reporting systems as implemented on campus, in state, and federal government.
