Job Description:
Information Technology Services (ITS) at the University at Albany seeks applicants for an ITS Purchasing Associate. This is a key role in the Central Business Office within ITS, which serves as an organizational hub for all finance, operations, and administration. The Associate is responsible for procuring ITS-managed equipment, services, and supplies for a wide range of projects and programs, including the University's new AI+ initiative, other advancements, and operational activities. They ensure that all transactions, regardless of complexity, comply with New York State, State University of New York (SUNY), and University at Albany procurement policies and procedures.
The successful candidate is extremely organized, has a strong attention to detail, and enjoys working in a fast-paced, high-demand environment. They have excellent interpersonal and analytical skills, and the ability to foster collaborative relationships with campus partners. The Associate works closely with Procurement Services to understand the nuances and complexities associated with all manner of purchasing activities. This is a unique opportunity for a strategic, solution-oriented thinker who is invested in developing the expertise to recommend and facilitate clear, creative paths to assist ITS in making successful, effective procurements consistent with all purchasing rules and regulations.
The Associate conducts their work with a high degree of integrity and a customer service mindset. They are adept at managing multiple priorities, recommending process improvements, and are equally comfortable working independently under limited supervision or as part of a team.
Primary Responsibilities
- Ensure all New York State, State University of New York (SUNY), and University at Albany purchasing rules and regulations are followed.
- Consult and advise ITS staff on procurements of varying amounts and complexities; determine route to purchase and best method of procurement.
- Manage the process for Requests for Proposals (RFPs), Invitation for Bids (IFBs), Requests for Quotes (RFQs), and Single/Sole Source procurements and the subsequent review, approval, negotiation of award, and contractual obligations.
- Prepare and process IT-related requisitions, contracts and purchase orders; monitor and manage term dates.
- Analyze procurement data and develop a holistic view of ITS procurements across the organization and make recommendations to ensure efficient, effective purchasing decisions.
- Keep abreast of evolving procurement rules and regulations, informing ITS staff of changes as needed.
Additional Responsibilities
- Provide backup support and/or assist with Central Business Office activities as needed.
- Be available to provide scheduled support and consultation outside normal business hours, including occasional evenings, holidays, or weekends.
Requirements:
Minimum Qualifications
- A bachelor's degree from a college or university accredited by a U.S. Department of Education (DOE) or internationally recognized accrediting organization.
- Two years of professional experience in purchasing, contracting, analyzing agreement terms, or similar role.
- Applicants must demonstrate an ability to develop inclusive and equitable relationships within our diverse campus community.

Preferred Qualifications
- Experience working with New York State purchasing and/or contracting.
- Experience in writing and negotiating contracts and related documents.
Additional Information:
Professional Rank and Salary Grade: Senior Staff Assistant - SL-3, $60,000-65,000.
