Sales Department Assistant/ Sample Coordinator
Milne Fruit Products is seeking a Sales Department Assistant/Sample Coordinator to be a part of our dynamic and growing company. This entry level position packages, ships and mails juice concentrate and other food samples to industrial ingredient customers and provides departmental support as requested. This is a busy position shipping thousands of samples each year. The Sample Coordinator is organized, detail oriented, comfortable asking for help, able to establish and maintain positive relationships with all departments; able to rapidly re-prioritize tasks throughout the day and able to return and complete earlier tasks when interrupted for higher priority business. What's the job like? In a typical day, the Sample Coordinator will review and print sample requests received via email, organizing them by national/international requests. If the samples are not already available in the sample freezer the Sample Coordinator will coordinate with the freezer, production and/or QA staff to request the needed juice for samples. If the juice is in larger container, such as a 60 pound, 5 gallon pail, the Sample Coordinator will portion out the juice into 8oz or 1 gallon sample containers as needed following all GMP (food safety) procedures. Once ready, the Sample Coordinator will package the items with appropriate documentation, print shipping labels, complete international customs paperwork and ship via the FedEx Powership system. An average of 30 samples need to be prepared to ship each day before pick-up at 1pm.
While preparing the samples each day, the Sample Coordinator is also answering the phone, checking email, sending clarification emails and preparing other FedEx shipments for the company and employees. After samples are sent for the day, the Sample Coordinator follows up with each requester and provides the FedEx tracking information. Additional time in the day is devoted to restocking the sample freezer (by breaking down the larger samples into the 8oz bottles), updating inventory in all three freezers, cleaning, supply orders, coordinating partner company samples with QA, invoice coding for FedEx, and supporting the Sales Department and visitors who are onsite to taste product. The Sample Coordinator has a dedicated Sample Lab work area. Casual dress is daily wear (as samples can get messy). This successful candidate will be part of a well-functioning Sales support team of 5 people led by an engaging manager with 20 years of experience within small, energetic company with a friendly culture. On the job training is provided for specific job tasks.
Qualifications:
The successful candidate will have: High school diploma or equivalent. Additional education preferred. Two years related experience; manufacturing facility preferred. PC-based computing experience (word processing-Word, spreadsheet-Excel, email-Outlook). Business database/ERP system (Microsoft Dynamics-NAV) preferred but not required. Ability to read and comprehend English. Professional writing skills to compose memos, letters and other business correspondence observing all rules of English grammar, spelling and punctuation. Effective language and human relations skills essential to developing and maintaining customers.
