Fiscal Technician - Development Office

 

                

The Finance Administrative Assistant provides fiscal support to the Office of Development by maintaining financial records, processing transactions and reconciling all accounts in accordance with state and university policies.

 

Duties and Responsibilities:

  • Provide fiscal support for Development Office.
  • Maintain financial records and process transactions for the Office of Development, including the Offices of Corporate and Foundation Relations, Planned Giving and Strategic Gifts. These transactions include purchasing, travel reimbursement, and payments for goods and services.
  • Reconcile all accounts monthly in accordance with state and university guidelines.
  • Provide the VP and Directors with monthly budget updates.
  • Examine, reconcile, and/or verify invoices, deposits, and/or other accounting documents or records. Review financial input data for accuracy and enter accounting, purchasing records into JMU software applications. Verify accuracy of data input.
  • Maintain detailed records for end of year transactions, adjusting and updating records as necessary.
  • Maintain purchasing records and resolve problems; review, approve and allocate purchases to proper budget and category; ensure compliance with departmental, institutional and state rules and regulations.
  • Purchase departmental computers, computer peripherals, furniture, and other significant purchases.
  • Maintain and process travel expense records, ensuring compliance with state and university regulations and procedures. Allocate travel expenses to appropriate budgets.
  • Track the use of Development Office funds held by the JMU Foundation.
  • Maintain Duke Card spending records for each office within Development.
  • Maintain fixed asset inventory for all of Development.
  • Manage fiscal records in compliance with the state’s records management program and according to JMU policies and procedures.
  • Other duties as assigned.


Required:

  • Previous fiscal support experience, preferably in higher education setting or state agency in Virginia.
  • Budget management experience, including proficiency with Microsoft Excel.
  • Excellent communication skills with the ability to interact effectively and professionally with multiple customer bases and maintain confidentiality.
  • Proficient software skills in Microsoft Office Suite and Outlook email, internet and relational database familiarity.
  • Ability to analyze financial data utilizing professional accounting principles and standards.
