Executive Assistant/ Clerk of the Board
This position will perform a variety of moderately complex and confidential executive-level administrative support to the General Manager (GM) and the Board of Directors to ensure smooth, timely and efficient office operations.
Essential Duties & Responsibilities (not an all-inclusive list): Provide varied complex, responsible, and confidential administrative assistance to the GM. Serve as liaison for the GM with Board members, federal officials, state legislators, senior staff, community groups, public and private industry official; perform clerical duties for Board members. Compose correspondence on behalf of GM from minimal information or written drafts. Type a variety of documents including correspondence, reports, technical specifications, meeting minutes, memoranda, and other written materials or documentation. Review all office correspondence, using discretion and judgment to determine responses required on behalf of GM, call attention to critical matters. Manage records by ensuring timely creation, maintenance, and archiving of documents and files to support historical accuracy. Supervise the scheduling and maintenance of the GM's calendar; coordinate day-to-day details of executive business operations; determine priority of meetings; ensure availability of pertinent data and appropriate staff required for all meetings; Coordinate all travel arrangement requirements for the GM, Board members, employees, and visitors; arrange airline reservations, conference fees, hotel accommodations, ground travel requirements and travel advances when requested; Respond to Board, staff, public and private agency requests for information which are received in the GM's office.
Minimum Qualifications: Associate's Degree in Business Administration or related field and three-years of progressively responsible administrative experience providing office and administrative support to management or executive staff; or an equivalent combination of education and experience. Must possess a valid driver's license.
Preferred Qualifications: Bachelor's Degree in Business Administration or related field and three-years of related experience. Experience in a public transportation organization is desired. Up to $79,559.00 Annually, Depending on Qualifications.
